Changes to Enterprise Systems Access (ESA) Request Form Process

Beginning Wednesday, April 22, the Enterprise Systems Access (ESA) request form will be completely electronic.

Information Technology will hold two Q&A sessions for the new service management system (Cherwell) where IT staff will demonstrate a brief walk-through of the new system, including the new ESA process.

Q&A Info Session Times, Locations

The first info session will be on Monday, April 27, at 10 a.m. in the Sunnen Lounge.

The second will be an online session via WebEx on Thursday, April 30, at 1 p.m. Central, via this webex link:

Highlights of the Changes to the ESA Process
  • The form will be submitted through the new Cherwell Service Management System.
  • Forms will no longer be able to be submitted with incomplete information.
  • CX ID number is required for new employee forms; this means that hiring managers will need to ensure that the new employee has completed the HR process before submitting a form for them.
  • Hiring managers will be required to provide an email address the employee can access to receive an electronic approval message. This electronic approval replaces the physical signature and is required before the form can be processed by Information Technology.
  • New fields have been added to the ESA form to clarify required services.
  • There are now separate forms for New Access, Change/Modify Access and Removal of Access.
How to Access the ESA Forms
  1. Go to www.webster.edu/technology/it-service-desk/work-orders
  2. Click Submit a Technology Request
  3. You will be taken to the new Cherwell Service Management Portal. Click on Click to Login in the upper right corner of the page.
  4. A login box will appear. Enter your Connections username and password.
  5. Click Sign-In.
  6. You are now logged in to the Cherwell customer self-service portal. From this portal you can locate the ESA forms in the System Access Forms (ESA) box, the first box under the Services Offered section.
  7. Click on the appropriate form (New, Change/Modify, and Remove).
  8. Fill in the required fields and click Submit.
