Travel & Expense Automation Initiative Follow-Up: Timeline & Expectations

As a follow-up to the previous announcement regarding changes to the University’s travel and expense processing, the launch date for travel booking, expense reporting, and purchasing card reconciliation is March 21.

Beginning March 21, the following changes will be implemented:

  • Centre Suite will no longer be used to reconcile new P-Card transactions. Transactions will flow through into Concur.
  • Centre Suite users will be required to submit their March 2014 expense report and resolve any outstanding issues by March 28.
  • Those using the paper expense report process should move to submitting reimbursements through Concur.
  • The current online travel booking system, ResX, will be inactivated. The TravelPlex telephone booking number will remain unchanged and will continue to be available for use by travelers.

Travelers and expense users will receive e-mails March 6-20, and expense users will receive e-mails March 14-April 7, which will require attention. They will include instructions for logging on to the system, updating user profiles, accessing reference materials and registering for upcoming training. Additionally, approvers will receive instructions for approving travel reservations and expense reports on March 21.
